W A Truelove & Son Ltd is registered as a data controller with the Information Commissioner. Our registered office is 118 Carshalton Road, Sutton, Surrey SM1 4RL, company number 293103. We are, therefore, responsible for deciding how we hold and use personal information about you.

The rights detailed below apply to personal data we hold and process about you, as a living person, and not about data concerning the deceased.

What information will be collected from you?

The following personal data will be collected from you: Title, name, addresses, telephone numbers, religious beliefs, email addresses, gender, marital status, date of birth, dependants and their contact information, photographs and CCTV camera footage. Religious beliefs, being data of a more sensitive nature, is categorised as a “special category” of personal data and is subject to higher levels of security.

Reasons why we need this information:

The personal data we collect from you will be used for the following purposes:

  • To respond to initial enquiries.
  • To enable us to carry out your wishes regarding funeral arrangements, including instructing third parties on your behalf.
  • Administering donations.
  • Management of the company and its related functions.
  • Administration of client responses by means of questionnaires.
  • To retain information for future reference when previous funeral information may be required.
  • To ensure our premises are secure by using CCTV footage as a means of protecting the contents therein, (including human remains).

How is your information utilised?

Your personal data is used in the following ways:

  • To contact you regarding the funeral arrangements and all associated elements of those funeral arrangements including removal of the deceased and disposal of the human remains.
  • To effect performance of your instructions. This will involve the sharing of your data with other members of W A Truelove & Son Ltd and specific third parties, (see below). Your personal data is used solely within the United Kingdom unless instructions are received to make funeral arrangements outside the United Kingdom, whereby your data will be passed to third parties in those countries to enable the performance of your instructions.
  • Your information will be stored, securely, on our servers for current, future and historical reference.
  • To contact you, by way of questionnaires, for performance feedback and provision of future services. Your personal data is never used for third party marketing purposes.
  • To pass onto our prepaid funeral service provider to fulfil our obligations in relation to that service.
  • To pass onto our debt collectors to pursue payment should our account remain unpaid.
  • Recordings of your visit to branches, which have CCTV, will be retained indefinitely for security measures and breaches thereof.

Sharing data with third parties

Your consent will always be obtained before we pass on your personal data to third parties.

The third parties who will process your personal data are:

  • Doctors.
  • Coroners.
  • Crematoriums, cemeteries and other burial grounds.
  • Grave diggers.
  • Ministers, celebrants, humanists and other funeral officiates.
  • Musicians and choirs.
  • Printers.
  • Florists.
  • Establishments providing meeting places after the funeral service, including caterers.
  • Transportation companies for the provision of vehicles to and from the funeral.
  • Our recommended online donation administrator, love2donate.

Service sheet information is shared between our branches by Dropbox. This enables the efficient transfer of such data between our offices when required.

Security of your data

We have security measures in place to ensure that your personal data is not lost, used or accessed in any unauthorised way, including the alteration and disclosure of such personal data. Our security measures are continually monitored to ensure no breach is possible and that all personal data is accessed only by those people who have authority to do so.

Your rights regarding your personal data we process

You have the right to access, update, restrict and erase your personal data.

The personal data we hold on you must be complete, accurate and up to date at all times. You must make us aware of any changes to your personal data so that the information held is correct.

By law you have the right to access your data. You can request a copy of the personal information that we hold about you to ensure that it is accurate and complete.

At any time you have the right to restrict the processing of your personal data to ensure that we are processing it in the correct manner.

You have the right to object to certain types of processing, whether they are in the form of direct marketing or automated decision making processes, including profiling. W A Truelove & Son Ltd does not use automated decision making processes or profiling.

You have the right to request that we delete your personal data providing it does not infringe upon other legislation.

Retention of Data

Your personal data will be held by us as long as the company feels fit to ensure fulfilment of the funeral contract, any ancillary services and any legal obligations, including reporting and accounting functions.

W A Truelove & Son Ltd will comply with all relevant legislation surrounding data protection. Personal data will always be securely kept, collected and used for the purposes detailed above, only accessed by those entitled to have access, kept accurate and up to date and only retained for as long as necessary. The data will only be used lawfully, fairly and in a transparent way. We can update this notice at anytime.
